For large events of 1,000+ attendees, 3–6 months is recommended. Festival and arena productions need 6–12 months for permitting, equipment, and crew. Smaller corporate events can be booked 4–8 weeks out, though earlier is always better for availability.

Event planning covers the venue, catering, guest experience, and scheduling. Event production is the technical execution — sound, lighting, video, staging, power, and show calling. On large events the two teams coordinate closely, but production is what gets the show on stage and keeps it running.
